Adding Bundled Modules After Transition to Service
Process for handling requests from clients who have purchased a bundled package of modules but wish to implement additional modules from the bundle after they have already transitioned to Service. The goal is to ensure consistency, clarity of responsibilities, and timely coordination between Service and Implementation teams.
Step 1 – Verify Bundle
- Check the client’s purchased bundle.
- Review the contract / billing to confirm the requested module is included.
Step 2 – Create HubSpot Ticket
- Open a ticket in HubSpot.
- Assign the ticket to the Implementation Pipeline, implementation manager.
- Include:
- Client name & account details
- Confirmation that the module is part of the bundle
- Clear description of what the client wants
Step 3 – Implementation Manager Review
- Implementation Manager confirms request and eligibility.
- Implementation Manager adds client’s request to the Implementation schedule.
- Implementation Manager adds client’s request to the FLOG with an EAR as $0.00 (included in bundle).
- HubSpot ticket is assigned to implementor for follow-up.
- Implementation Specialist changes the status from “On Hold” to “Importing Data” and adds the ticket #.
- Implementation will communicate timeline/next steps to the client.
Step 4 – Closeout / Transition Back to Service
- Implementation Specialist sends a Project Closed email to the client and copies the assigned CSR and Implementation Manager.
- Implementation Manager marks the implementation complete on the FLOG
- The HubSpot ticket is updated and reassigned to Service.
