Benefit Plans
Benefit plans are a place to add premiums and coverage levels to make updating benefits on employees easier and is recommended best practice over just Scheduled Deductions. We ask clients to provide benefits information a minimum of 30 days prior to their open enrollment start date. This allows us to complete the configuration changes timely. Late submissions may incur additional fees.
Benefit Plans are Required When a Client:
- Has ACA
- Has Online Benefit Enrollment
- Has Carrier Connection
- Has over 30 employees (unless reviewed by HR for an exception approval)
Deductions Can be Used Instead of Benefit Plans When a Client:
- Has 30 or less employees
- Does NOT have ACA
- Does NOT have Online Benefit Enrollment
- Does NOT have Carrier Connection
- Does NOT have Age Banded Plans
- Does NOT have complexity where they wish the system to generate calculations/logic
Benefit Plans are Entered/Updated by the Benefits Specialist/HCM Service Representative When the Client:
- Has ACA
- Has Online Benefit Enrollment
- Has Carrier Connection
Benefit Plans are Entered/Updated by the assigned CSR/HCM Service Representative When the Client:
- Does NOT have ACA
- Does NOT have Online Benefit Enrollment
- Does NOT have Carrier Connection
Assigning to Benefits Queue in TeamSupport:
CSR/HCM Service Representative is responsible for providing initial response to client per established SLAs. Ticket stays assigned to the CSR/HCM Service Representative and is updated as below, with the Due Date as follows:
- 3-5 days prior to Open Enrollment Start Date (if using Online Benefit Enrollment)
- 3-5 days prior to the first effective Payroll Submit Date (no Online Benefit Enrollment)
This ensures updates are made and client has time to review prior to their Open Enrollment Start Date/Payroll Submit Date.
For clients that have ACA, Online Benefit Enrollment, or Carrier Connections and are assigned to a CSR, the Benefit Specialist will pull the ticket, assign to themselves, and work directly with the client to completion.
