Subject: Cannabis Client Expectations
Hello Team,
With our first Cannabis clients coming on board, here is a recap of the process and expectations.
Tiers
Teresa sent this in an email on 06/23 as well. Cannabis clients fall into one of two Tiers, detailed below. The tier will be indicated in the bottom notes section of the Overview Sheet when submitted to Implementation. Please take note as you setup or review the clients. There is also a new Extra Field, MRB Tier Type, that will need to be updated to Tier 1 or Tier 2 on these clients.
Tier 1 (touches the plant/products in some way)
- 3-day submit window for ACH or 2-day submit window for wires
- ACH processes through NorthBay Credit Union only using NorthBay bank accounts
- No OBC
- 3-year contract and price guarantee, increases by 6% yearly afterwards
- New clients (not from Payroll Systems) require MRB Due Diligence
Tier 2 (provides services to MRB clients but does not touch the plant/products)
- ACH processes though Wells Fargo or ACB only using standard PayNW bank accounts
- No OBC
- 3-year contract and price guarantee, increases by 6% yearly afterwards
- New clients (not from Payroll Systems) require modified Due Diligence
Troy/Paula
- Payroll System Conversions: Troy is working on and submitting conversions from Payroll Systems.
- Other New Clients: Paula will be submitting new cannabis clients that follow our standard process.
Introduction Emails
- Payroll System Conversions: Moving forward Cruz will send introduction email for the clients coming from Payroll Systems.
- Other New Clients: Paula will send introduction emails for other new cannabis clients.
Builds
- For the clients Angie will be building the shells, she will be included on assignment email. You will be responsible for all communication with client.
Employee Data/Historicals
- Payroll Systems Conversions: For clients coming from Payroll Systems Angie will be able to export this information, so we do not need to ask the client to provide this data.
- Other New Clients: We will follow the standard discovery process.
Quotes
- Payroll Systems Conversions: You may see a line item for SwipeClock on their quote. This is because the client is currently using SwipeClock and will continue to do so.
- Other New Clients: Standard products and billing setup.
Questions
- Payroll Systems Conversions: Before going to the client for clarification on anything, please reach out to Cruz. Cruz knows the clients coming from Payroll Systems and will be a great resource for clarification or questions. As part of the sale process clients were informed he was coming on board to help make this transition as smooth as possible, since he has access to previous system. He is more than happy and willing to help with questions!
- Other New Clients: You can reach out to the sales rep Paula, as needed. She will need to be made aware of pushes, holds, deadlines missed, same as we have done.
Trainings
- Please conduct the necessary trainings with client based on products purchased. Be sure to show them the readyConnect resources as well.
- Note: There may be some coming from Payroll Systems who email their payroll in and they will be following the same process with PayNW. If they email payroll, after first payroll they can be assigned to a CSR.
