This Knowledge Article is to highlight some of the common issues clients may experience with the new user interface as of July 2020:
Issue Summary | Reason(s) | Solution |
Mobile App HCMToGo: Unable to Login | 1) Mobile access is not enabled on the security profile(s) 2) User Error - Check Global Access Report for reasons |
For user to login on the new mobile app they must have the following enabled on their security profile:
|
Mobile App HCMToGo: Unable to Clock In/Out |
1) Mobile punching must be enabled on security profile 2) Timesheet profile must have punch options enabled |
Verify security profile permissions are correct: Users also must have this setting in their timesheet profile:
Users also need the Clock Widget in their New UI Dashboard Profile -This should be there by default unless the client or users removed it.
|
Mobile App HCMToGo: Geofencing restricts or does not restrict Clock In/Out | 1) Geofencing rules reside within a users timesheet profile rules for 'Check Distance', typically looking at a radius of an address based on a cost center location OR the company address |
Verify and modify accuracy of geofencing rules within timesheet profile rules. Remove rules if they should not apply. Or create a separate timesheet profile if some users should have restrictions and others should not.
If the centerpoint of the geofencing is off, this can be adjusted in the address of the cost center using longitude and latitude coordinates instead. |
New Timesheet does not ... (fill in the blank) |
Kronos is still working on feature parity, provide client feedback to Garrett and consider moving back to the desktop timesheet OR client is not using the new timesheet correctly (training) |
Change the user's timesheet back to the desktop style in the timesheet profile settings:
If you change this to desktop, you MUST update the company extra field, so we know they still need to be moved in the future. Update as per the below:
|
Missing Quicklinks for: Timesheet Specific Views Pending Request Views |
Consolidated screens in the New UI no longer support quicklinks and force a selection of a different view. |
Some Options: 2) Save a default report view as the landing screen 3) Utilize My Saved Reports widget with saved view for access 4) For TLM request workflow migration, so can utilize To Do items / Mailbox for approving requests
|
Client cannot access My Learning / Guides |
1) Security Profile is missing roles 2) User is not navigating to the correct place |
Blue = Admin Only Yellow = ALL Orange = Manager/Admin
|
Home Dashboard: Cannot see accrual balances | ESS Tab of Security Profile does not have View access setting for Accruals | Update security profile(s) ESS tab to View Accruals |
Home Dashboard: Does not see missing punches | Missing punches report is not enabled in security profile(s) | Enabled Missing Punches Report on report tab within appropriate security profiles![]() |
Home Dashboard: Client wants to configure home Dashboards and set as first screen | Client needs training resources |
Link to Dashboard configuration training video: https://www.paynorthwest.com/hcm-cloud-resources/your-new-experience-awaits/new-ui-dashboard-profile-configuration/ Link to Guide for setting first screen: https://www.paynorthwest.com/wp-content/uploads/2020/03/PNW-Employee-First-Screen-Settings.pdf
If they cannot access first screen settings or the New UI Dashboard Configuration Profiles, then likely they need additional access enabled in their security profile. |
EE Profile: Cannot view/edit own profile | Access not enabled on security profile |
On ESS Tab of security profile, enable view/edit access for "My Profile" You may also need to add other ESS access as well such as View access to Accruals, so they can see the accruals widget, etc.
|
EE Profile: Errors in new, not in Classic |
New UI is more stringent on both required and unique fields as well as security settings New UI is new and may have bugs |
Case by case scenario, if after investigating you determine a ticket needs to be opened with support, please forward the details Garrett to log the ticket. |
Start/Favorites: How to configure for all users | Clients cannot access security profiles to update all users start menus |
Configure start menu in the security profile per client request then assign and reset users menus:
|
TLM To Do Items in Mailbox: Timesheet Approvals, Time Off Requests, Change Requests, etc. | Approvals were migrated to workflows for the new experience (discussed in webinar), this creates action items for approvals in the mailbox in addition to report screens |
Client likely needs a modification to the migrated workflows, assign tickets to implementation.
If a client does not need a process change, but simply wants outdated items deleted, these can be deleted in the All To Do report (Be careful, though to only delete the old ones!) Alternatively, you can direct the client to this report as well to handle. |
Fields are Misaligned (Time Off Request) | Client is not using the most updated version of internet explorer/edge |
As of 8/4/2020:
|
Cannot Approve: Timesheet/Change Request/Time Off | User attempting to do the approval does not have the corresponding To DO Action Item |
Case by Case Scenario: 1) Workflow may not be initiated because timesheets were never submitted by employee or automatically by the system 2) User does not have access to approvals 3) User needs to perform approval in All To Do Report 4) Security Profile for admin does not have Approval ALL checked 5) Approver is a new manager and the workflow was initiated prior to them being assigned to the employee (Admin should override, or for larger clients with many outstanding to do items, workflow delegations can be used) 6) If workflows need to be changed, send to implementation for updates |
