This is helpful for clients who want to know what outstanding to-do items they have in their organization. Can also be used to clean up old items.
Overview
Use this report to see what to-do items are outstanding for employees, complete on employee behalf, and delete items no longer relevant.
Accessing the Report
Navigate to My Reports > System > System Utilities > All To Do Items. The report will load.
Add the “Approver” column. This will show who the to-do item is assigned to, where the username column shows who the to-do item is regarding.
- Click Select Columns.
- Click the magnifying glass to open the search box.
- Type “Approver”.
- Choose one or more of the approver columns to add. The most common choices are “Approver: Employee Id”, “Approver” Full Name”, and “Approver: Username”. Click the right arrow to add to the report.
- Click Select Columns. The column will be added to the report.
Optional: Filter Report by Approver
You can filter your report to only show items assigned to a specific person.
Locate the “Approver” column and select your filter. See the Filter Options section at the end of this guide. In this example, the filter is returning everyone whose name starts with Test.
Managing To-Do Items
Complete on Employee’s Behalf
In some cases, the employee has completed the task but didn’t mark it complete. Check the box next to the item to mark it as complete on their behalf.
Complete a Workflow Task on an Employee’s Behalf
If an approver is out of the office and a task needs to be completed, you can complete the task on their behalf.
Delete a To-Do Item
If a to-do item is no longer relevant, you can remove it entirely. This step cannot be undone. If you delete a to-do item in error, you will need to re-assign the task. If the task is connected to a workflow, you will need to re-initiate the action that kicked off the workflow.
Delete a Single Item
Click the x icon. (If you do not have this button, you may need to add the “Button: Delete To Do Item” column.)
Delete Multiple To-Do Items
Check the box to the left of each item you would like to delete.
Click Delete To Do Items.
Click Yes.
Filter Options
The following options are available for filtering report columns.
The in and not in filters can also be used with a list. You can use in abc,def,ghi to return abc, def, or ghi. Similarly, you can use not in to exclude a list of items.
