How To -- Cancel Everything Benefits Product

If a client requests to cancel an entire EverythingBenefits Product (Carrier Connection, COBRA Administration, or 401k 180/360), not just drop an EDI, CSR/HCM sends an email to Account Changes with the following information:

  • Client Short Name-MasterTax ID
  • Company Name
  • Company EIN (if Multi-EIN)
  • Product being cancelled
  • Final feed date/end date

This is important to ensure the Product is cancelled with EverythingBenefits and in UKG Ready (PayNW, Onemint, Renewal)

The Benefits Specialist will submit the cancellation request to EverythingBenefits based on the specific client scenario.

Scenario 1: Single EIN has multiple EverythingBenefits Products (example: Has Carrier Connection and 401k 180 and is only cancelling 401k 180)

To Cancel Product:

  • Click Add Change Request
  • Find Client

 

  • Select all carriers associated with the product you are cancelling
  • Add note next to carrier that the entire product is being cancelled
  • ALWAYS use mypayroll@paynw.com. Do not use work or personal email.

Scenario 2: Multi-EIN client is cancelling one of more Products for specific EIN. A case needs to be created to drop EIN from Product OR if this is the only EIN with that Product

 

To Cancel Product for one specific EIN(s):

  • Click Add Case
  • Enter Subject- Suggest to put in Client ID and Client name with short description
    • Ex. 916 Living Care- drop EIN name of EIN
  • Add Description. Be as detailed as possible. Include the Company EIN Name, Legal Name if different than Company EIN, DBA Name, Client ID, Tax ID if more than one EIN, and Cost Center Name if it different than Company EIN, Legal Name, or DBA. All of this information is needed as EB may have the information listed differently on their end or a carrier may have different names listed.

Scenario 3: Client is cancelling ALL EverythingBenefits Products 

To Cancel Client from all Products: 

  • Click Add Change Request
  • Find Client

Click Cancel Client

 

  • Add all information as to why the client is cancelling
  • Add the date the request should be cancelled
  • Add email address. ALWAYS use mypayroll@paynw.com. Do not use work or personal email
