Instructions on how to review Company Tax Add/Change Tickets
HubSpot
- Add client name to ticket and remove PayNW client name and Tax contact from ticket
- Complete Parent Admin steps below
- Add notes to ticket and close
- Resolved – comment of Reviewed
Parent Admin
- Select Company and review if PR Status is “Active” or “Importing Data”
- If Importing Data: Confirm importing date and note down. Close Ticket
- If active, continue below
- Log into the company as SA
- Navigate to Company Taxes report. (My Reports>Payroll Reports>Audit Trail>Company Taxes)
- Select Timeframe based on when the changes were made in the system.
- Review changes/new taxes
- Applied for Status:
- Mastertax Setting > Service Level = “Return Only”
- Override Payment Options:
- Box checked
- Type: Manual (Client Resp)
- Void Tax Payments – Type: Manual (Client Resp)
- If UI – use new rates located in Tax Guide Knowledge Base
- If State WH – make sure nexus box is checked
- All dates should begin with the start of a Quarter
- Updated Tax Settings:
- Review Status, EE/ER Withholding, Dates, and any other columns
- All dates should be the beginning of a quarter
- Confirm rates with documentation on I Drive. Reach out to updater if you cannot locate new rate.
- Mastertax Setting > Service Level = “Use Default”
- Override Payment Options: Box Unchecked
- If you need to know who made the edits for further questions: navigate to Edit Company > View Audit History (in parent or other admin account.)
- Select Timeframe under Audit Time based on when the change was made in the system
- Filter by “Not Null” under Shadow Session
- Filter by “Like” “COMPANY_TAX” under Object type
- Review:
- Click the numbers under Shadow Session to review who made the change
- Add notes in ticket for changes
- If no new account number has been added – close ticket
- If new account number has been added:
- Change to Tax pipeline
- Add subcategory of “New Jurisdiction Tax”
- Tax will review and close
