OneMint Client manage a lot of their own payroll stuff. Some clients have been setup to Finalize and Deliver their own payrolls, and some will Submit. If the client is set to Submit, we will need to Finalize & Deliver the payroll for them.
Payroll Process screen: Report Name – Last and Next Weeks
- Company PR Entry Type – This tells you if the client submits their own payroll or Finalize & Delivers their own Payroll. This will help determine how to handle the payroll.

- Finalize & Deliver – you need to do nothing with this. This will drop off this screen when they have finished their payroll. Check with Client if you see that it is still there close to the deadline to make sure it is not missed.
- Submits – we Finalize & Deliver their payroll. We do not have to view recap & funding, ACH or Wire Limits. These clients are set up differently than Lumina/Reliance clients and that is not required.
- Once Payroll Status is in “Submitted” you click the check box and then hit Finalize & Deliver in the top right-hand corner.
- A pop up will ask if you want to finalize, etc. You only Select YES.
- OneMint Done for the Day – This is an email to Tax and admin. We do not send to distribution; nothing needs to be done in TeamSupport. See screenshot below.
- Rollbacks – If a client requests to rollback a payroll, this can be done for them as long as the “Done for Day” email/files have not been sent by Tax department yet. If you sent your email and it is an emergency, you can ask tax the status and they can let you know if you are able to roll back.
- Live Checks - No payroll packages are printed/delivered to OM clients. Reports are emailed and any live checks are printed by the clients in house. They will receive an email “Checks to Print” and are responsible to distribute accordingly. This will contain any non-Child Support garnishments and employees who do not have direct deposit setup.
- Re-Deliver – Clients or Tax may say they never received their payroll package. We can Re-Deliver this package again for them. After you re-deliver always let client or tax know it was sent so they can watch for it.

- Find the payroll in your payroll processing screen, and select the check box.
- Click “Deliver” in the top right hand corner
- A pop up will appear that needs to be completed with the below steps.
- Check the “Use Custom Delivery Options”
- Comment why you are sending again
- Click Yes
- MasterTax ID – OneMint clients MT ID’s have a “M” in them. You can find them in two places.

OneMint DD Returns/NOC
If finance receives a Direct Deposit Return or Notification of Change, a ticket will be added in Team Support, you will need to mark the ticket as Visible, add the necessary contacts, which can be found on the clients Sticky Note in system, and use the following templates. The charges for OM clients vary from standard PayNW fees, this is why the template in Team Support will look different. If it is a Direct Deposit return be sure to add this fee to the next invoice for that EIN.

We received a Notification Of Change for one of your employees. Here is the information the bank sent us:

According to the bank information above, the account number needs to be updated. Please review the employee Direct Deposit set-up and update accordingly. It is up to you if you would like employee to submit new banking information for this change.
This is not a direct deposit return, but simply an informational notification, so that the employees banking information can be updated in the system to avoid any future returns. Please let me know if you have any questions.

Hello Client,
We received notification of a returned Direct Deposit for a recently processed payroll. Here is the information the bank sent us:
Employee:, Emp ID: #, Check date: **/**/****, Check Amount: $***.**, Return Reason: *******
You will see the funds return to the originating bank account within the next 5 business days. Please review the employee Direct Deposit set-up and update accordingly to avoid future returns. The quickest way for the employee to be paid is for you write an in-house check for the net pay amount to replace the returned Direct Deposit. There is no need to record this in-house check in the payroll system as the wages and taxes have already been reported. There is a $30.00 returned Direct Deposit fee that you will see on your next invoice.
